Consultant Invoicing: Workshops, Research, and Reports
Consulting invoices should show the thinking, not just the time. Separate the workshop, the research, and the report so a finance team can approve the invoice without asking what was actually delivered.
1. Day rates, hour rates, and fixed deliverables
Use a fixed fee for a workshop day and a report, and an hourly rate for research. Mixing the three on one invoice is normal — just label each line clearly so the total is easy to audit.
2. Expenses and project references
If travel or materials are billed, list them as separate lines and attach receipts outside the invoice. Always include the client's PO number and project reference when they have one.
3. Payment terms for corporate clients
Corporate clients often pay on Net 30. Accept that when you must, but still put an explicit calendar due date on the invoice and a late-fee clause, as explained in our late-fee guide.
